Vanguard Phase 2: What's New

Here we outline the latest updates on the Road XS product, code-named Vanguard.

Updates in Software 2026.15

Software release date: April 8th 2026

Improvements

• An improvement has been made to the live GPS board to show the last known locations of any reported drivers.
• Journey bookings can now be made within the hour.
• The journey analysis report now has redundant columns removed.

Fixes

• For manual driver assignment, the filter for third-party driver selection has now been fixed.
• General code fixes for errors being thrown when adding drivers without related codes.

Updates in Software 2026.14

Software release date: April 2nd 2026

• Cron job which will update information for any journey happening on the day running at 30 mins after the hour.
• Additional columns and improvements in the journey analysis report.

Improvements

• Journey analysis report now includes a scroll bar along the base.
• Journey analysis now accommodates cancelled journeys and reasons.
• Linking back to the action board and departure board now stays in the same window.
• Support offices and proposed addresses now get pulled through including the pickup and drop off locations.
• Journey analysis export now works better into CSV.
• Updates to flags brought across from third party api.

Updates in Software 2026.13

General Information

• A number of consolidated updates

New

• You can now export into CSV the action board items.
• There is now an ACL in role manager to switch off the settings from the main menu for specific users.
• A more complete journey audit now shows which is accessible from the journey overview screen.
• An export to CSV of the journey audit can now be completed.
• You can now edit support officers from the journey overview screen selecting from the related module accessible from the Road XS menu with the capability also linked to an access control via a role setting.
• When live GPS is enabled you can also now export the live GPS location history which has been captured against the journey.

Improvements

• The action board will now no longer grey out when the journey time has passed.
• The journey analysis report has been updated with new columns, postcodes split out and client references added so that even if multiple references have been assigned it will show within the same cell.
• To assist with less clicks, confirmed journeys can also now be viewed on the action board.
• To and From addresses now show on the action board with the full address showing.
• When passengers have been confirmed as picked up the go button now greys out and is un-clickable in the driver portal.  Passenger notes can still be viewed by clicking the names.
• Drivers can now skip uploading photos when performing a vehicle check in case phone signal is low.

Fixes

• A PDF run sheet can now be downloaded again of the journey for the use of backup and offline copy.
• Cancellation report now loads with additional reasons being added launching soon.
• General bug fixes and improvements raised.
• Related passenger notes has now been removed from the booking form and the journey overview screen to streamline the notes workflow.
• Updates to API linking into third-party systems.
• Journey analysis report headers have now been updated and aligned.
• An interim fix has been released related to the driver portal app functioning on tablets which was throwing an error.

Updates in Software 2026.11

Software release date: March 10th 2026

General Information

• A number of updates released over the past few days which add additional functionality.

New

• You can now add additional drivers and vehicles to a journey to assist with cross-decking.  A cross-decking option now shows on the journey overview screen.
• You can now add additional passengers to a journey via the journey overview screen.
• You can now confirm the pickup time from the admin area and multi-select passengers in the process.
• You can now add references to each journey and apply to all passengers or individuals.  Editing the reference also updates to ensure references can be easily added, removed and edited.

Improvements

• There is now an enhanced layout for drivers which includes pickup and drop off information from the driver portal app dashboard.
• Service user disability icon now shows in the driver portal when viewing passenger notes.

Fixes

• We fixed a layout issue preventing multiple passengers to be selected from the admin side when adding the confirmed pickup date and time.

Updates in Software 2026.10

Software release date: March 2nd 2026

General Information

• Improvements with SU cancellations showing on the admin side and driver portal side.
• Passengers that are cancelled now remain showing on journeys.
• Completed journeys now show for drivers in the driver portal.
• Cancelled passengers now show on the journey overview and in the popup view on the driver portal side.
• Cancelled journeys admin side now show all cancelled passengers and the journey view.  (Note: There is one minor update remaining to automate the journey status switch to cancelled).
• Minor UI updates on the driver portal.

Fixes

• Roof rack removed in vehicle equipment checklist.

General Information

• Vulnerabilities released onto the departure board showing per service user.
• Journey type now shows under the scheme in the top left corner.
• Related journey notes from the booking form now shows in the journey overview screen (though we may bundle this into journey notes)

Fixes

• Edit journey leg has now been improved and should now function stably.  Drop off date and time has been left in place for now.
• FTT has been hard coded into the third party API software
• There is a new cancelled group cancellation status with a new API function to get only passengers with that cancellation status.  When cancelling an individual the cancelled group status cannot be used.

• Single and multiple passengers can now not be cancelled from a journey until the journey starts on the driver portal side.
• Cancellation reasons now should align correctly for both the admin side and driver side.
• Cancellation reasons updated to include FTT.
• Driver fee function and step removed from the journey overview sidebar.
• Manage passengers removed from the journey overview sidebar (may get added back in soon).
• General driver portal / app UI updates for better customer experience.

Fixes

• Independent passengers can be now be imported through third party API without linking directly to the primary passenger and showing the wrong information.
• Service areas have now been fixed so that it doesn't just default to the initial specified area and shows correctly.

• When a driver ticks off all pickups the journey will now be marked as completed and stop the journey too at the same time.
• Single passenger information now pops up like the grouped passenger information does.
• The action board now replicates the departure board columns.
• Vulnerability flags now show in the popup information when viewing passenger information.

Improvements

• When cancelling a passenger admin side it now has a loading animation associated with it.
• Cancellation reasons tweaked and updated to match admin side and driver side.
• Departure board now reflects the information required on export.
• Journey analysis report has been updated to show the count correctly for any report generated and also linking up the drivers correctly in the driver column and grouping passengers linked together into the same journey IDs.
• Driver vehicles are now shown alphabetically from the vehicle registration in the driver portal when selecting vehicles.
• General UI improvements released for when in the driver portal and viewing groups of passengers.

Fixes

• When cancelling a group we have now fixed the function to allow this to happen.
• Removed un-needed text reminder the driver about information 48 hours in advance of a journey happening.

General Information

• These updates cover major changes that have occurred from switching off full automation in to the new manual workflow requested for the phase.
• These changes reflect the improvements from the initial prototype released to stabilize the new workflow implemented.

Improvements

• Fixes relating to passengers popping out of groups but re-linking on refresh and fixing the manual allocate driver workflow when changing driver types.
• Additional journey analysis columns added.

• Actual pickup and drop off times as dictated from the driver portal now show in the journey overview screen.

Fixes

• Released an urgent fix in relation to address lookup going down to a third party outage and closure.  This has now been released within 24 hours to ensure journeys bookings can happen.  We will remain with this fix going forwards and were able to resolve this swiftly.  This does bring with it some changes related to DRT but we will revisit these in the future.

• You can now add pickup times in the admin area to journeys not completed by the driver in the driver app.
• When driver set pickup and drop offs in the driver portal, they will now show on the admin journey overview screen as the actual times they were picked and dropped off on.

• Drivers now showing up in the driver manual lookup are now showing.

Fixes

• New workflow defined and released as soon as possible to reflect a switch away initially from full automation into a manual workflow. This was down to some journey types requiring no time allocation applied to them.  This required a complete rethink with updates to follow to completely smooth over the new workflow going forwards.  This may be a little bumpy as it's a major and fundamental change to how the software was built to initially work.
• We now also show suggested time slots when looking up particular driver types to assist with reflecting whether a journey can be fit into a drivers day shift

• We have now released an update so that driver shifts are fully accommodated against the algorithm.
• You can also via journey types set when these journeys happen or do this via the service area, and update driver overtime on the driver availability calendar too.

• You can now edit journey legs and it automatically reschedules the journey to a new driver, or recommends selecting a third party service.  This happens automatically for the group of passengers or single passengers and is a major update to accommodate the change of destination or address.
• A new group ID has been released alongside passenger groups so that groups can be moved between vehicles with ease.  This also enables key information to be passed back through into third-party software which integrates with Road XS.
• Groups of passengers can now be cancelled as one.
• Groups of passengers can be processed and merged.
• New database structures now support the linking of groups of passengers.

General Information

• With GPS improvements released to the driver portal, it's important to note that these settings work best when the screen remains on and the battery power saving functions are disabled.  This enables the GPS to ping more frequently.

Improvements

• Updates to the core GPS tracking in the driver portal have been released.  When starting a journey, the live red pulse location now instantly updates on the admin side along with providing the related live What3Words location.  
• The red pulse of the GPS location is now much smoother and shows faster on the map.
• Personnel now show clearer on the journey overview screen improving the UI.

• You can now import passengers via the third-party API into Road XS along with their dependents into the booking form, selecting who is travelling on the journey.
• The system will provide confirmation that the correct passengers have been selected.
• A vehicle can now be added multiple times, even if it's being used on another journey.  This enables you to now just assign a vehicle or driver to a third party company without needing to know the complete information about vehicle or driver.

• Initial algorithm version released following some initial testing internally.
• Journeys automatically now assign to the nearest available driver based on their radius.
• The algorithm runs a set of rules and applies the allocation to meet these rules.
• Any journeys the algorithm cannot assign get put into vehicle pending to be assigned to third party operators.
• Each driver has their operating time assigned to them and journeys are assigned to the driver putting everything into one journey per driver.  This means that groups travelling and single passengers will all show in the same journey.

Improved

• New DVLA API added to Road XS for vehicle detail lookup.  For now we have kept the information the same, but this means in the future we can add the capability for vehicle recalls and more.

General Information

• You can add a location and class it as a cross-decking location meaning you can add places for vehicles to meet and allow passengers to swap vehicles and offer the option to select them from the booking form.

New

• When entering an address, What3Words will now auto estimate where this location is and you can also manually override this estimate too.  Estimate shows in orange, and manual override shows in green within the field stored.
• You can now add cross-deck locations which now show up as an option in the booking form.

Fixes

• Date and time functions fixed whereby they were all showing as null.
• MD5 hash updated in the database for better security.
